Position Title: Front Office

External Description:

General Summary

Greet patients and visitors professionally and politely, while checking patients in and out using the facility’s practice management system. Collection and posting of patient payments is an important part of the check in and check out process.

Essential Functions

  • Greet patients and visitors who are coming and going, and direct them appropriately.
  • Check patients in and out using the facility’s practice management system.
  • Collect payments and post them to the patients’ accounts.
  • Assist patients with their registration in the facility’s electronic medical record, as needed.
  • Present all policies and obtain signatures on needed forms and consents and collect all appropriate billing forms and scan into the appropriate database.
  • Schedule follow-up appointments for patients to include work-in appointments.
  • Order supplies and distribute upon arrival.
  • Responsible for petty cash supply, if applicable
  • Maintain supply of the appropriate patient materials and forms used.
  • Maintain cleanliness of the lobby and front office area.
  • Monitor the patients as they wait in the lobby for their appointments.
  • Monitor clinic flow; notify patient when the providers are running late and notify providers of no shows. Notify lab staff of patients waiting for labs.
  • Open and close the clinic.
  • Responsible for collecting patient payments with accuracy and posting properly.
  • Exhibit and maintain a high degree of professionalism and decorum in all situations in addition to confidentiality, flexibility and accountability.
  • Other general duties as assigned.

Education

High School Diploma or GED required.

Experience/Qualifications: 

  • 2 - 4 years of medical office or clerical experience
  • Excellent communication and organizational skills
  • Understanding of and adherence to confidentiality rules
  • Accuracy and attention to detail with ability to multi-task
  • Ability to work effectively in a fast paced environment
  • Proficiency in Microsoft Office, such as Word, Excel, Power Point and Outlook
  • Familiarity with EMR software and pervious money handling experience preferred
